ULI Arizona is searching for a Manager to join our small and collaborative team that serves local members in real estate and land use professions and fosters relationships, learning, and leadership that meaningfully affects their careers, their communities, and the industry.
The Manager position offers a great opportunity for someone with strong communication skills who is interested in working with regional industry and public and nonprofit leaders to address critical land use and development challenges. Through daily collaboration with a passionate team and committed industry professional members, the Manager will have the opportunity to not only build a network but also stay abreast of the top land use issues and community opportunities in the state of Arizona.
The Manager works closely with the Executive Director, Senior Director, ULI Arizona member leaders, and contractors to implement ULI Arizona’s strategic priorities, oversee marketing and communications, coordinate program development, and support the Young Leaders Group (YLG), NEXT, Southern Arizona, Communications, and Diversity, Equity, and Inclusion (DEI) initiatives
POSITION SUMMARY:
The Manager, reporting directly to the Senior Director, will work closely with the ULI Arizona Executive Director, volunteer executive and committee leadership teams, and ULI contractors to coordinate the development of compelling and high-value content core to ULI Arizona’s annual program of work. The Manager is one of the people of the district council who members call first for assistance and information, so it is imperative that he or she be courteous and friendly. The position necessitates that the Manager be able to travel occasionally to district council events throughout the area and attend meetings, events, and programs in the early mornings or evenings.
The Manager serves as an informed resource for district council committees, interfacing with them to ensure that all work is consistent with the Institute’s policies and procedures and that ULI Arizona’s goals and objectives are met. The Manager works closely with the ULI Arizona staff to maintain administrative, financial, and office operations, including membership, sponsorship, programs, communications, and community outreach.
The ideal candidate will be comfortable working either remotely or in the office, depending on what the district council decides is needed; however, the applicant will be required to reside in the Phoenix region. ULI Arizona staff currently work in a remote setting. ULI Arizona anticipates moving into a physical office space in mid-spring 2023 supporting a balanced hybrid work model.
SPECIFIC RESPONSIBILITIES:
- The Manager will work collaboratively with ULI headquarters staff and communicate regularly with the chairs of the various committees and subcommittees in the Manager’s portfolio of work; communicate directly with senior industry leaders participating in ULI Arizona’s events and programs, general membership, prospects, sponsors, and partner organizations; and work collaboratively with outside contractors, community partners, and regional ULI colleagues to support the organization’s DEI initiatives, annual Trends Conference, statewide programming, and community impact initiatives.
- Ability to understand the district council program of work and tie it to the overall Institute goals and priority focus areas.
- Perform other duties and special projects as necessary.
Program Development and Coordination:
- Play a key role in the creation and administration of programs including panel discussions, project tours, leadership events, member-only events, forums, mentorship programs, and the annual Trends Day signature program. These programs range in size from 20 to 1,000+ attendees.
- Manage all logistical aspects of planning and implementing programs and events for Young Leaders Group (YLG), NEXT, Southern Arizona, Communications, , and Diversity, Equity, and Inclusion (DEI) initiatives programs and events, with attendance ranging from 5 – 200+ people. Work collaboratively with the ULI Arizona Executive Director, Senior Director, Preferred Providers, and Committee volunteer members to ensure event success.
- Attend monthly meetings, coordinating with chairs/committee leadership to schedule meetings, producing agendas and related materials, and assisting in the development of content for programs.
- Work with committee members to identify speakers and align the content with the priorities of ULI Arizona.
- With other staff, manage and execute the meeting planning and production tasks needed to ensure that member-produced events, are delivered in a professional manner, including but not limited to the following: contract management for all third-party contractors, room setup and audiovisual, printing and processing name badges, mailing thank-you letters, final registration of attendees, processing event-specific invoices, and general event logistics.
- Support the Annual and Event sponsors of ULI Arizona.
Marketing and Communications:
- Work with staff and members to produce and manage the distribution of district council collateral materials.
- Manage weekly e-blasts, including content, curating a list of recipients to receive news about ULI Arizona events and activities.
- Develop persuasive communications strategies, including social media, for showcasing the Institute’s thought leadership, increasing brand awareness in the Phoenix metropolitan and Arizona markets, and raising awareness of and interest in ULI Arizona’s community impact initiatives.
- Update the district council website using ULI’s content management systems, including, but not limited to, marketing for upcoming events, news related to district council initiatives, members and sponsors in the news, and other pertinent activities.
- Curate the ULI Arizona social media accounts, updating and periodically writing content regarding land use issues in Arizona, past and upcoming programming, and other items that are of interest to our members.
- Represent the district council through public speaking and participation in ULI programs, committee meetings, task forces, and meetings with ULI partner organizations and agencies.
Member Relations:
- Work with various district council committees, including but not limited to: Young Leaders Group (YLG), NEXT, Southern Arizona, Communications, , and Diversity, Equity, and Inclusion (DEI) initiatives, etc. Key focus is ensuring value to members and strengthening the district council’s visibility and image throughout Arizona.
- Manage the distribution of correspondence to members and nonmembers.
- Work with ULI’s customer service department to update member and prospect information.
- Handle routine member and prospect inquiries.
- Support standing committees and other working groups as needed, including recording, writing, and distributing committee meeting follow-up notes and tracking action items.
- Access member and nonmember records to create analyses for membership, sponsorship, attendance, and budget patterns for tracking and forecasting short- and long-term goals.
Fiscal/Operational:
- Responsible for pursuing appropriate continuing education credits for district council events. Act as the primary administrator for the district council with the Arizona Department of Real Estate.
- Manage and maintain district council operations including, but not limited to, supplies and equipment, digital files, databases, records, calendars, inventories, and other district council resources and equipment and maintenance as needed.
- Work with the Senior Director, the Executive Director, and other staff to prepare district council and committee budgets and business plans.
- Manage and serve as a clearinghouse for general email/phone inquiries about membership, sponsorship, and customer service–related items.
- Assist the Senior Director, the Executive Director, and district council leadership in preparation/management of budget, strategic plan, business plan, and preparation of annual recertification documents to the ULI global headquarters.
- Manage the activities of a third-party contractor in administering NetForum (member and event database) input from the district council, including, but not limited to, committee assignments, complimentary event passes for registration of members of the press, speakers, sponsors, and other dignitaries.
- Manage the activities of a third-party contractor in processing and managing accounts payable and receivable for all activities associated with the district council, including, but not limited to, sponsorships, programs, membership, community outreach, supplies, etc.
- Track expenses to improve budgetary performance.
- Work directly with ULI Arizona’s staff to ensure and monitor fiscal health; and to prepare documents for annual budget recertification and reforecasting.
- Perform other administrative, marketing, and communications duties and projects as required, to contribute to a team effort.
QUALIFICATIONS:
- BA/BS degree or four to six years of relevant work experience in marketing and/or communications desired; a degree in communications/marketing, business/public administration, real estate, planning, or related field preferred.
- An interest in real estate, land use, or urban planning preferred, familiarity with the real estate and land use industry in Phoenix/Arizona.
- Previous experience with nonprofit management or volunteer members preferred.
- Proficiency in Microsoft Office (Word, Excel, Outlook, and PowerPoint) required.
- Proficiency in social media, email marketing (preferably Real Magnet), and WordPress preferred.
- Proficiency in design software (i.e., Canva, Adobe Creative Suite) preferred.
- Proficiency with CRM, NetForum preferred.
- Excellent oral and written communication and interpersonal skills to work with senior business and public-sector executives and internal and external stakeholders.
- Demonstrated ability to initiate tasks and assume responsibility for them; work with minimal supervision in a high-production position; prioritize and reprioritize tasks as needed and handle multiple tasks concurrently and completely with responsible follow-through.
- Strong organizational and project/program management skills.
