The Urban Land Institute (ULI) is a nonprofit research and education organization supported by its members, with a mission to shape the future of the built environment for transformative impact in communities worldwide. ULI Washington, a district council of ULI, delivers this mission throughout the Metropolitan Washington Region through a variety of engagement programs and events. Events take place in different formats, including virtual, hybrid, and in-person. With approximately 2000 members who represent the spectrum of land use and real estate development disciplines, ULI Washington is among the largest District Councils in the United States, and the serves as a central convener of thought leadership in the Metropolitan Washington Region.
ULI Washington is supported by a lean and entrepreneurial six-person full-time staff (including this Associate position, which is backfilling for a vacancy). Together, the ULI Washington team works in partnership with each other and with volunteer member committees and leaders to cultivate programming for the district council. Because in-person events occur throughout the region, it is important that the Associate reside within the region and possess the ability and desire to (1) travel to and (2) be present at and support events – some of which extend beyond traditional work-day hours (e.g., breakfasts and happy hours). When not staffing events or meeting in-person with ULI members or fellow teammates, ULI Washington has a culture of flexibility with remote working, though we maintain an expectation of meeting in the office at a minimum of one day per week, with more in-office presence required during weeks of heavy programs.
POSITION SUMMARY:
The Associate is a professional position within the District Council and will focus on supporting both the program management of the office, and providing support for programming at our member-facing events. This job includes a mix of “back of the house” book-keeping, record-keeping, and event planning with “front of the house” event and program management and attendance. As an integral part of the staff team, The Associate is also one of the faces of the District Council—members call the Associate first for assistance and information, so it is imperative that they be courteous, friendly, relationally-oriented, and attentive to detail. The position requires the ability and willingness to travel throughout the Metropolitan Washington Area and attend both in-person and virtual meetings, events, or programs in the early mornings or evenings.
The Associate serves as an informed resource for District Council committees, interfacing with these committees to ensure that all work is consistent with the Institute’s policies and procedures and that ULI Washington’s goals and objectives are met. The Associate also works closely with the Executive Director and senior staff to maintain administrative, financial, and office operations of the District Council, including membership, sponsorship, programs, and communication.
This is a full-time exempt position located in Washington, D.C. reporting to the Senior Director, ULI Washington.
SPECIFIC RESPONSIBILITIES:
- Supports standing committees and other working groups as needed, including recording, writing, and distribution of committee meeting minutes.
- Assists with executing in-person, virtual, and hybrid programs and event planning, including event attendance.
- Works with the staff and committees to create, produce, and manage distribution of District Council collateral materials.
- Manages distribution of correspondence to members and nonmembers.
- Supports District Council event tasks including room setup, printing and processing name badges, mailing thank-you letters, final registration of attendees, post-event “tally sheets,” and processing event-specific invoices.
- Manages and maintains District Council operations including, but not limited to: supplies and equipment, files, databases, records, calendars, invitations, and other District Council resources and equipment and maintenance as needed.
- Works with the Executive Director in the preparation of budgets, sponsorship, and recertification plans. Tracks expenses to improve budgetary performance.
- Accesses member and nonmember records to create analyses for membership, sponsorship, attendance, and budget patterns for forecasting short- and long-term goals.
- Administers NetForum (member and event data program) input from the District Council, including, but not limited to: committee assignments, complimentary event passes for registration of members of the press, speakers, sponsors, and other dignitaries.
- Assists in developing and maintaining vendor relationships, sourcing appropriate suppliers for catering, audiovisual equipment, or IT in support of District Council events.
- Updates and maintains the District Council website, using ULI’s content management systems, including, but not limited to, marketing for upcoming events, news related to District Council initiatives, members in the news, and other pertinent activities.
- Supports social media communications for the district council.
- Processes and manages accounts payable and receivable for all activities associated with the District Council, including, but not limited to, sponsorships, programs, membership, community outreach, book orders, supplies, etc.
- Performs other administrative duties and projects as required, to contribute to a team effort.
QUALIFICATIONS:
- BA/BS or 2-4 years of related nonprofit/member associate experience preferred.
- Ability to provide courteous customer service and maintain professional relationships with coworkers and ULI members.
- Professional oral and written communication and interpersonal skills to work with senior business and public sector executives.
- Ability to initiate and prioritize tasks and handle multiple tasks concurrently and completely with responsible follow-through and minimal supervision.
- High attentiveness to detail in all aspects of work.
- Demonstrated proficiency/skills in Microsoft Office (Word, Excel, Outlook, and PowerPoint); knowledge of and competency with a graphics and relevant softwares, such as Canva, Illustrator, Photoshop, or communications software a plus.
- Familiarity and proficiency with web-based tools, such as content management systems or internet-based tools for updating and publishing content to dynamic website (e.g., Higher Logic, ADP, WordPress, Paramount Workplace, Condeco) a plus.
- Proficiency with virtual meeting software (Zoom) and facilitation desired.
- Willingness to learn new skills associated with program administration, and to take part in your own learning.
- Experience in multi-platform communications desired.
- Ability to manage and reliably execute multiple projects in a fast-paced environment.
- Self-motivated, demonstrating meticulous attention to both details and deadlines.
- Proven project and office management skills, including creative problem solving.
- Aptitude for financial management and budgeting, with outstanding attention to detail.
- Meeting and event coordination skills.
- Interest in real estate development and land use planning an plus.
- Ability to travel to and attend early morning and evening events throughout the Metropolitan Washington, DC Region is required.
- Use of personal vehicle may be required for local travel.
